08. Moving a Deal Through the Due Diligence Process

Purpose

This article guides workspace admins on how to move an existing deal through the due diligence workflow from initial review to investment using DiligenceGPT’s statuses, reports, and collaboration tools.

Overview

Once a deal has been added to the workspace, it progresses through a structured workflow. Admins manage this process by updating deal statuses, reviewing generated reports, coordinating team input, and transitioning approved deals into portfolio companies.

Manage Deal Statuses

All deal progression is controlled through workflow statuses, which determine how deals appear across views, dashboards, and reports.

Default Workflow Statuses

  • New

  • Reviewing

  • First Diligence

  • Deep Diligence

  • Offer Signed

  • Portfolio Company

* The Portfolio Company status is mapped to the Portfolio page and is required for accurate portfolio tracking.

Update Deal Status

Deal statuses can be updated from the Deals page using either view.

Table View

  1. Open the Deals page.

  2. Switch to Table View.

  3. Click the deal’s Status field.

  4. Select the appropriate next stage from the dropdown.

Use this view to update multiple deals quickly and efficiently.

Kanban View

  1. Open the Deals page.

  2. Switch to Kanban View.

  3. Drag the deal card into the desired status column.

Use this view to visually track pipeline flow and workload distribution.

All changes are reflected in real time across the workspace.

Conduct Diligence

As a deal progresses, teams deepen their analysis while continuing to use the same reports, notes, and collaboration tools.

Reviewing (Initial Screening)

  • Review Deal Fit to confirm thesis alignment

  • Check Data Sufficiency and add missing information

  • Decide whether to advance or archive the deal

First Diligence (Initial Analysis)

  • Review the Deal Brief for a structured company overview

  • Use Market Intelligence reports to assess market dynamics

  • Add analyst notes and collaborate with teammates

Deep Diligence (Detailed Evaluation)

  • Analyze Metrics and financial performance

  • Review Valuation reports to analyze deal economics

  • Submit structured feedback via the Reviews page

Once diligence is complete and terms are agreed upon, update the deal status to Offer Signed.

Mark the Deal as a Portfolio Company

Once an investment is completed:

  1. Update the deal’s status to Portfolio Company.

  2. The deal automatically appears in the Portfolio view.

  3. All historical diligence data is preserved for ongoing monitoring and reporting.

This step enables accurate portfolio dashboards and post-investment tracking.

Customize Workflow Statuses (Admins Only)

Admins can tailor the workflow to match internal processes:

  1. Navigate to Workspace Settings → Workflow.

  2. Add, remove, or rename statuses as needed.

  3. Ensure the Portfolio Company status remains unchanged to preserve Portfolio page mapping.

Summary

By following this workflow, admins ensure that:

  • Deals move consistently through diligence stages
